Cancellation Policy
How deposits, balances, change requests, and cancellation requests are handled.

Overview
Cancellation terms depend on the fare, departure, payment plan, and timing of your request. The checkout displays the cancellation policy summary for your selected expedition before you confirm.
This page describes the default policy framework. If a written booking confirmation states a stricter or more generous term for a specific expedition, that written confirmation controls.
Deposits and balances
Deposit amounts and balance due dates are set by the expedition payment policy. Many expeditions require a deposit at booking and a balance payment before departure.
Failure to pay a balance when due may place the booking at risk of cancellation after our team attempts to contact you.
Customer cancellation requests
Cancellation requests must be submitted through the account area or sent in writing to our team. A request is not complete until our team confirms it has been reviewed.
Refund eligibility is based on the fare rules, supplier commitments already made, payment processor costs, and how close the request is to the departure date.
Changes instead of cancellation
Where possible, we may offer a date change, traveller substitution, credit, or itinerary adjustment instead of cancellation. Changes can affect price, availability, supplier commitments, and payment schedules.
Customer self-service changes are reviewed by the team before they become final.
Operator changes or cancellation
If we must materially change or cancel an expedition for safety, operational, supplier, flight, permit, weather, or force majeure reasons, we will explain the options available, which may include a revised itinerary, rebooking, credit, or refund depending on the circumstances.
Insurance
Travel insurance is required. We strongly recommend coverage for cancellation, interruption, medical treatment, evacuation, delayed travel, and supplier disruption. Insurance claims are handled directly between you and your insurer.
